Terms and Conditions

These terms apply to all programmes, sessions and products offered by Ukhamba Educational Services ("Ukhamba", "we", "us"). By registering a learner, you agree to these terms. Your signed Registration Form forms part of this agreement.

1. Enrolment and payment

Group numbers are limited so that every learner receives personal attention. A learner's place is confirmed only once payment has been received. Payment is due within 48 hours of registration.

If you choose to pay in instalments, the first instalment is due within 48 hours of registration, and each following instalment is due before its session. Full details are included in your welcome pack.

2. Enrolment confirmation

Once payment is received, we will email you a confirmation and receipt. We will contact you again before the start date only if there is a change to your learner's sessions.

3. 2027 Early Bird offer

Register for 2027 by 15 December 2026 and receive 20% off any option: group or one-on-one, in person or online. Full details are included in your welcome pack.

4. Programme outcomes

Our programmes teach study skills, strategies and habits. Many learners grow in confidence, organisation and exam performance, but results also depend on the learner's own effort and on factors outside our control, such as school teaching, subject difficulty and the learner's starting point. We do not guarantee specific marks or academic results.

5. The 3-Month Ukhamba Guarantee

Every XP Learning Programme learner is backed by our 3-Month Guarantee, which runs from the end of Chapter 3. If your learner has not quite grasped the material, they may book one free follow-up session of about 1 hour within those 3 months. The guarantee covers one session only, does not renew, and ends after 3 months. Follow-up sessions are by appointment, in person or online.

6. Cancellation by us

Unforeseen circumstances may require us to change session dates, times or the location. If this happens, we will let you know as early as possible. Group sessions need a minimum number of learners to run. If a group does not fill, we will tell you before the start date and offer you an alternative date or a refund.

7. Cancellation by you

To cancel, please email connect@ukhamba.pro at least 5 working days before your learner's first session. We will refund your fees less an administration fee, as stated on the Registration Form. Cancellations after this deadline are not refunded. Instead of a refund, you may transfer your fees to another programme or hold them as credit for a later group.

8. Refunds

We refund payment in full if we cancel a programme, or if a group is full before we process your registration.

9. What fees cover

Fees cover tuition, administration and the workbook and stationery used in sessions, and refreshments at in-person sessions. We will tell you at registration if your learner needs to bring anything.

10. Changes to programmes

We may update programme content, session details or materials to keep improving what we offer. Any change that affects your learner's booked sessions will be communicated to you in advance.

11. Learner wellbeing and support needs

Please tell us on the Registration Form about any disability, learning difficulty, medication or allergy that may affect your learner during sessions, so that we can support them well. We treat this information as confidential, as explained in our Privacy Policy.

12. Safety and responsibility

Parents and guardians remain responsible for learners before and after in-person sessions, including drop-off and collection. Ukhamba is not responsible for loss of, or damage to, personal belongings.

13. Online sessions

For online sessions, parents are responsible for providing a suitable device, a stable internet connection and a quiet space. Missed sessions caused by technical problems on the learner's side cannot be refunded, but we will help where we can.

14. Photos and recordings

We only photograph or record learners for marketing if you have given consent on the Registration Form. You may withdraw this consent at any time by emailing us.

15. Our materials

All Ukhamba materials, including workbooks, free guides, stories and characters, belong to Ukhamba Educational Services. They are for your family's personal use and may not be copied, shared, sold or used for teaching others without our written permission.
